What you will do:

As an Executive Assistant with Bryant Park Consulting, you will join our growing back office team and be responsible for supporting our leadership in all firm administrative activities and improvement efforts. This position reports directly to the CEO, though you will collaborate with internal and external stakeholders including executive leadership, operations, talent, professional services, partners, and clients to ensure smooth firm operations. You will be expected to demonstrate an entrepreneurial spirit, be resourceful, and wear multiple hats with support from the rest of the organization as we continue to grow. You will be pivotal in supporting Bryant Park Consulting through continuous growth.

Some of your key responsibilities and job activities will include:

  • Coordinating travel: flights, hotels, rentals, and calendaring logistics for executives, as well as tangential travel and key contact meetup opportunities
  • Managing inbound email correspondence and meeting scheduling and calendaring on a day-to-day basis for the CEO
  • Mail pickup and coordination of activities needed to follow up on mail on a regular basis
  • Coordinate drop off and pick up of dry cleaning and other local errands for the CEO as needed (will try to minimize, but might need it)
  • Coordinate key CEO events and initiatives, including employee appreciation, travel, events, marketing, etc.
  • Coordinate internally to schedule internal meetings, including 1v1s, skip-levels, performance reviews, ad hoc, and other strategy meetings for the CEO
  • Help in filing electronic documentation and organizing communications and notes on internal and external initiatives for the CEO
  • Help in drafting and sending communications via email on behalf and at times as the CEO for various common communications including coordinating time to meet with key clients, coordinating reference requests, coordinating connections with key contacts
  • Monitor approval queues for the CEO and ensure timely review and follow-up on all requests for approval, including A/P, new hires, etc.
  • Support delegate signing of documents on behalf of the CEO upon written and verbal approval by the CEO
  • Data entry into CRM, including new opportunities, contacts, companies, leads, and prospects, and ATS including candidates, referrals, scorecards, etc.
  • Coordinate meetings with all new hires to welcome to the team, coordinate meetings with all departing employees for exit interviews
  • Coordinate with the talent team in coordination of interviews with key candidates in the recruitment process
  • Maintain to-do list and a backlog of activities for the CEO, review and prioritize regularly to keep current and relevant
  • Support in meeting prep, briefing, and debriefing including participant profile review, agenda preparation and feedback, and more

Qualifications and Experience:

  • Bachelor's Degree (preferred)
  • Familiarity with Oracle NetSuite ERP (nice to have)
  • At least two years' work experience as an Executive Assistant or similar position
  • Strong organizational skills, a demonstrated ability to prioritize tasks, work under pressure in a fast-paced environment, and meet deadlines
  • Excellent email and calendar management skills
  • Excellent writing skills
  • Strong professional demeanor
  • Demonstrated experience with research and information gathering, including the ability to quickly gather data in a short timeframe, on a wide variety of topics
  • Highly detail-oriented, with a meticulous approach to follow through, including systems for tracking follow-up
  • Strong interpersonal, communication, and relational skills; strong verbal communication skills; demonstrated ability to function in a collaborative environment across all levels of the organization
  • Ability to work independently with minimal supervision
  • Good judgment, flexibility, and patience; discretion in dealing with confidential and sensitive matters
  • Experience with Google Docs, Sheets, Slides and MS Office Excel, Word, PPT
