Role Overview

This position will serve as Executive Assistant to a Cabinet-level Secretary and will primarily work in the Governor's Office.

 

Salary Statement

The salary for this position is commensurate with education or work experience.

 

A Day in the Life:

The essential functions of this role are as follows:

  1. Provides direct administrative support to an executive administrator of an agency.
  2. Performs a variety of administrative duties that involve a high degree of discretion in interpretation, application, and execution of agency and department policies and programs.
  3. Works with a wide range of agency and state administrators, legislators, private companies, and the general public on routine and non-routine problems.
  4. Prepares administrative rules and procedures for executive administrator and/or board or commission.
  5. Reviews operating practices and procedures to determine whether improvements can be made in areas such as workflow, reporting procedures, or expenditures.
  6. Coordinates and directs office services, such as records, departmental finances, budget preparation, and personnel issues to aid executive.
  7. Manages and maintain executive’s schedules and travel arrangements.
  8. Some essential functions of this position may be performed onsite at the agency’s worksite or other assigned worksites while some essential functions of this position may be eligible for work from home authorization in accordance with policy. Remote work authorization is not automatic and is dependent upon operational needs and agency approval.

This position is exempt from overtime compensation for additional work hours which may be required to complete essential functions or other assigned work. Exempt employees may work more than 75 hours in a pay period without additional compensation and must report a minimum of 75 hours per pay period of work hours and/or paid leave taken to receive their base biweekly salary.

 

What You'll Need for Success:

The ideal candidate in this role should minimally have either

  1. a Master's degree with 3+ years of experience, or
  2. a Bachelor’s degree with 5+ years of experience, or
  3. an Associate’s degree with 7+ experience, or
  4. at least 8+ years of experience applying the below, with 2 years in an administrative, leadership, managerial, or supervisor capacity. 

Related certifications and coursework may be considered for education or experience.

 

You must meet the following requirements to be considered for employment:

  1. Broad knowledge of the theories, principles, practices, and methodology of administrative management.
  2. Broad knowledge of department charge and programs
  3. Specialized knowledge of state government administrative structures
  4. Attention to detail and proofreading skills
  5. Organizational skills with the ability to prioritize tasks effectively and multitask
  6. Effective verbal and written communication skills
  7. Ability to communicate complex theories and principles to a broad spectrum, both verbally and in writing
  8. Ability to coordinate and motivate diverse, professional and support personnel
  9. Ability to be creative in developing alternatives to meet the department’s needs
  10. Ability to maintain cooperative work relationships
  11. Able to perform essential functions with or without reasonable accommodation.
