Admissions Assistant – Bilingual (Spanish)
Location: Tulsa, OK | On-site

System One has partnered with a Tulsa company that is hiring an Admissions Assistant to support a mission-driven organization focused on early childhood education and family services. This role is ideal for someone who thrives in a front-facing, administrative environment and values meaningful community impact.

Responsibilities:

• Greet and assist visitors, applicants, and clients in a professional and welcoming manner
• Answer incoming calls and direct inquiries to the appropriate team members
• Provide accurate information about programs and referral services
• Maintain confidentiality while handling messages and client records
• Monitor visitor logs and issue badges to ensure a secure environment
• Assist with data entry, file labeling, and supply ordering
• Help manage conference room calendars and confirm bookings
• Sort and distribute incoming correspondence (emails, faxes, voicemails)
• Support document retention processes for program participants
• Track and monitor department budgets and provide general office support
• Share information about early childhood programs and guide families through the application process
• Record client interactions in the system and ensure accurate documentation
• Collaborate with internal departments to ensure smooth operations

Qualifications:

• High School Diploma or GED
• At least 1 year of relevant experience in an administrative or customer-facing role
• Bilingual fluency in English and Spanish (verbal and written)
• Strong interpersonal and communication skills
• Ability to multitask, stay organized, and maintain confidentiality
• Proficiency in Microsoft Office and Office 365 
• Event planning experience is a plus
